Export Profiles

 Introduction

Export Profiles tell AgileIM where and how to copy or move electronic files once you have finished analyzing or reorganizing them. They are normally the last configuration step before you run an Export or Re-org job. The form is modelled on the Electronic Profiles screen, so the workflow will feel familiar if you have already created source connections.

 Managing Export Profiles

In the ribbon, choose Admin ▸Data Management ▸ Export Profiles.

The Export Profiles dialog appears (see screenshot above). Your existing profiles are loaded into the Profile drop-down.
Tip – You must have Administrator rights to create, edit or delete export profiles.

 

Creating Electronic Profiles

  1. In the Profile box, type a unique name (e.g., “SharePoint – Project Vault”).
  2. Click New; the fields will clear, ready for configuration.
  3. Populate the remaining fields (explained below).
  4. Click Save. The profile is now selectable whenever you run Tools ▸ Export or Reorganize.

Field-by-field reference

Control Purpose Notes / Examples
Profile Select or type the profile name. Names are case-insensitive but must be unique.
Type Target repository technology. SharePoint, File System and OneDrive are the most common.
Update Links If ticked, AgileIM rewrites stored link paths (e.g., in metadata fields) so they point to the new location after export.  
Server Root URL or UNC path of the destination. For SharePoint: https://tenant.sharepoint.com/sites/IM
… (Browse) Opens the repository picker to validate credentials and cache libraries/folders.  
Library The target document library (SharePoint / OneDrive only). Populated after the server connection succeeds.
Path Optional sub-folder inside the library or file share. Leave blank to export to the root.
Link To Tab Which AgileIM tab to create link objects in (if you keep a reference to the exported item). Example: All Objects
Link To Type The specific AgileIM object type used for the link. Example: Document or a custom “External Link” type.
Delete Permanently removes the selected profile (you’ll be prompted to confirm).  
Close Exits without saving changes.  
Save Commits all edits for the current profile.  
 

Configuring An Electronic Profile

By selecting a Profile from the Profile dropdown, you can start configuring a profile or make changes.

 

Running an export with your profile

  1. Filter or select the items to move.

  2. Choose Tools ▸ Export.

  3. Pick the desired Export Profile from the list.

  4. Confirmation popup – a small in‑window dialog (shown below) asks you to confirm the action:

    • Header text explains which profile will be used and what will happen.

    • Click the ✓ to proceed, the or blue × to cancel.

  5. If you confirm, a summary screen appears and the export starts. AgileIM records each exported object in the audit trail and, if Update Links was enabled, automatically updates link metadata.

Best practices & troubleshooting

  • Test first – Run a small export to a staging area to validate permissions and path mappings.

  • Permissions – The account you authenticate with must have Add (and if renaming/moving, Edit) rights to the destination library or share.

  • Long paths – Windows file shares are still limited to ~260 characters unless Server 2016 long-path support is enabled. Plan your Path values accordingly.

  • Versioning – SharePoint libraries with versioning will automatically capture the incoming file as the first (or next) version. No extra settings are required.

  • Deleting profiles – If a profile is referenced in scheduled tasks or saved export jobs, update those jobs before deletion to avoid “profile not found” errors.
